This policy explains what personal information Join Group Safari collects when you browse this site, send an enquiry or book a safari, what we do with it and the choices you have. It is written in plain language on purpose - if anything is unclear, ask us.
1. Who we are
Join Group Safari is a safari and tour operation run by Bright Star Hotels Arusha, based at 10 Mawe Road, Sakina, Off Namanga Road, Arusha 23210, Tanzania. In this policy "we", "us" and "our" mean Join Group Safari, and "you" means anyone who uses this website, sends us an enquiry or books a trip with us.

2. Information we collect
We only collect what we need to answer you and run your safari:
- -Enquiry details - name, email address, phone number, country of residence, travel dates, number of travellers, budget range and any notes you write in a form.
- -Account details - if you create an account, your email address and an encrypted password held by our authentication provider. We never see your password.
- -Booking details - the departures and seats you reserve, passenger names, dietary or medical notes you choose to share, and any documents you send us such as passport pages for park and permit paperwork.
- -Payment information - the amount, currency and status of a payment. Card details are entered on our payment or booking partner's own systems and are never stored on our servers.
- -Technical data - IP address, browser type, pages visited and approximate location, collected through server logs and analytics so we can keep the site working.
3. Why we use it
We use your information to:
- -Reply to enquiries and prepare quotations.
- -Confirm, operate and support your booking, including transfers, park permits and accommodation.
- -Take payments and issue receipts and invoices.
- -Send service messages about your trip, such as pick-up times or itinerary changes.
- -Send occasional offers and departure news, only where you have asked for them. Every such message has an unsubscribe link.
- -Meet legal, tax and immigration record-keeping obligations, and to keep our site secure.
4. Legal grounds
Where the laws of Tanzania or of your own country require a legal basis, we rely on: performance of a contract (running the safari you booked), your consent (marketing email, optional cookies), our legitimate interests (responding to enquiries, preventing fraud, improving the site) and legal obligation (accounting and immigration records).
5. Who we share it with
We do not sell personal data. We share it only where it is needed to deliver your trip or run the site:
- -Lodges, camps, hotels and airlines named in your itinerary.
- -Park, conservation and permit authorities, which require passenger names and passport details.
- -Ground handlers, guides and partner operators in Kenya, Uganda and Rwanda for cross-border sections.
- -Our booking and payment providers, including the Rezdy booking platform for joining tours and the payment gateway used at checkout.
- -Our hosting, database, email and analytics providers, who process data on our instructions.
- -Authorities, insurers or advisers where the law requires it or to protect people's safety.
6. International transfers
Our website and database are hosted outside Tanzania, and some partners operate in other countries. Where data moves across borders we use providers that apply recognised safeguards and contractual protections for the data they hold on our behalf.
7. How long we keep it
Enquiries that do not become bookings are kept for up to 24 months so we can pick up the conversation if you return. Booking and financial records are kept for the period required by Tanzanian tax and company law, normally seven years. Account data is kept until you ask us to delete the account.
8. Cookies and similar technology
We use strictly necessary cookies to keep you signed in and to remember your language choice. We use analytics cookies to understand which pages are useful. Some pages embed third-party content - Google Maps for our office location, Google Translate for the language switcher and the Rezdy booking pages - and those services set their own cookies under their own policies. You can block or delete cookies in your browser, though some parts of the site may then not work.
9. Your rights
You can ask us to give you a copy of the personal data we hold about you, correct anything inaccurate, delete data we no longer need, restrict or object to certain uses, or withdraw consent for marketing at any time. Email info@joingroupsafari.com and we will respond within 30 days. Depending on where you live you may also have the right to complain to your national data protection authority.
10. Security
Traffic to this site is encrypted in transit. Access to booking and enquiry records is restricted to staff who need it, accounts are protected by individual logins, and payment card data never reaches our systems. No online service can promise perfect security, so please avoid sending sensitive documents by unsecured email where we have offered another route.
11. Children
This website is not aimed at children. We collect details of minors only as part of a family booking, provided by a parent or guardian, and use them solely to arrange that trip.
12. Changes to this policy
We may update this policy as our services change. The date at the top of the page shows the latest version, and material changes will be highlighted on this page.
